The Monroe County Historical Society is seeking a qualified candidate for the position of Research Library Manager. Applicants should possess work experience in library and local history/genealogy research. Candidate must possess excellent written and verbal communication skills. Position Description

General Expectations and Duties:

All staff members are expected to share willingly in performing the “General Expectations and Duties of All Employees” and other duties which may be assigned from time to time as the need arises. The following are specific duties of this staff position.

Position overview:

The Monroe County Historical Society’s Research Library Manager oversees the Research Library’s functions within the organization. The Research Library Manager serves as the scheduler and supervisor of library volunteers; directs the recruitment and hiring of new library hourly workers and volunteers; maintains and develops the library’s collection; assists the public with research; directs and participates in the processing of the library’s archival collections; manages the Research Library’s publications; develops and administers the society’s library and publications budgets; assists with exhibit research and editing; directs and participates in the assessment/accessioning/ deaccessioning of all library resources; liaises with the Monroe County and Bloomington City Government to ensure safe storage and access to original county and city records; publishes articles for internal circulation; performs other duties and functions as the need arises.

The Research Library Manager works under the supervision of the Monroe County History Center Director.

Essential Duties:

Volunteers/Hourly Workers
• Manage and train the library’s corps of 15-25 volunteers, interns, and hourly workers
• Create a monthly schedule for library personnel
• Direct the hiring process for all new library interns and hourly workers (write position descriptions, review applications, make position offers, supervise workers)
• Oversee and/or design the projects of all library personnel
• Recruit new personnel when the need arises
• Chair the Research Library Committee (composed of about eight volunteers):
o Serve as staff representative and chairperson
o Set agendas
o Schedule and run a monthly meeting
o Take and distribute meeting minutes

• Assist patrons with local history and Monroe County genealogy research within the library
• Respond to and assist with paid distance research requests
• Solicit payment for performed library services that have associated fees
• Track and administer research payment funds
• Perform local history research and produce articles/ write-ups for inclusion in the library’s blog or the History Center’s newsletter

Library/Archival Collection
• Oversee/ participate in the assessment/ accession/ deaccession, loan, and transfer processes for all library and archival resources
• Seek to grow the collection by researching and purchasing/ soliciting the donation of relevant resources and collections
• Catalog and shelve the library’s monographs according to best library practices
• Oversee official Monroe County records and documents in compliance with the Monroe County government (oversee custody paperwork, keep an inventory, ensure safe housing, act according to best preservation practices, index the resources, ensure public access, process in a timely manner)
• Oversee/participate in the processing of the library’s archival collections (complete basic processing so that item-level descriptions can be completed at a later time)
o Create finding aids for archival collections to be used in the library and    published online
• Act in accordance with best preservation, conservation, and restoration processes (enact best practices possible with limited budget)
o Oversee the restoration and preservation of certain resources, especially grant- funded restoration processes
• Manage the creation, re-binding, and re-printing processes for genealogical indexes when needed
• Maintain library databases and indexes and publish these resources (or information about them) on the library’s webpages
• Manage the library’s web and social media presences
• Develop, oversee and administer the library’s yearly budget (including line items for: collections, binding/repairs, supplies)

• Research grant opportunities and write/ submit grants with the assistance of the Research Library Committee (request funding for: collection development, hourly worker wages, resource restoration, digitization projects
• Administer grant funding

• Track the Monroe County Historical Society’s inventory of publications
• Take master copies of resources to printer when supply is low
• Oversee the Monroe County Historical Society’s publication budget
• Maintain the Publications Room in the History Center
• Mail/ manage payment for distance publication requests

• Maintain good relationships with local libraries and museums, such as Monroe County Public Library, Indiana University Libraries, the Wylie House Museum, the Mathers Museums, and other local organizations; and work on collaborative projects, research opportunities, skill development, and resource sharing
• Ensure that the Monroe County History Center Director and other Center staff members are aware of library events and programming
• Staff the library’s events

Intra-Center Collaboration
• Collaborate with other staff members, including:
o Work with Collections Manager to assess new donations
o Work with Collections Manager and Collections and Exhibits Committee to  manage incoming donations and outgoing deaccessioned items
o Work with Collections Manager to periodically update collections documents and request forms (such as: temporary custody forms, research request forms, photo request forms, transfer of title forms, etc.)
o Work with Exhibits Manager on exhibit research and exhibit label editing
o Work with all staff on Center programming newsletter production, and other Center functions
